Excel Personnel has been retained by our client in Prince George, BC to identify their Executive Assistant.

This role offers a unique chance to contribute to our Indigenous community. Working closely with the Executive Director, this full-time position (35 hours per week) entails diverse administrative and communication tasks. The Executive Assistant must uphold confidentiality and engage professionally with staff, management, and the public. Additional responsibilities may be assigned as needed.

Job Duties:
General Administrative Responsibilities

  • Provide direct and confidential administrative and office management support to Administration staff including Council, Executive Director, Director of Finance and Director of Operations.
  • Attend and coordinate all Administration meetings including but not limited to: Council, Committees, Directors and Managers, Community and others as assigned.
  • Take and transcribe dictation notes and meeting minutes at all Administration meetings and others as assigned.
  • Communication and distribution of all meeting minutes, directives and other documents as assigned to the Management and Directors of the Nation.
  • Maintain and communicate work schedules and calendars of the Management and Directors.
  • Prepare travel itineraries, book travel arrangements, and make reservations for Administration staff and Directors and Managers as support is needed.
  • Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary.
  • Review and distribute priority correspondence for Administration staff as well as Managers and Directors.
  • Prepare draft reports, background documentation, and research as needed and assigned.
  • Coordinate and plan for offices service such as equipment, supplies, maintenance, security, and other duties as assigned.
  • Other duties as assigned
Communications Responsibilities
  • Assist in the development, design and branding of all office stationery and other administrative documents. Including digital resources.
  • Assist in the maintenance and updates of the Nations website and social media platforms.
  • Coordinate and oversee the planning, production, and distribution of essential documents such as the annual report, newsletters, social media posts and other communications materials to ensure accuracy, completion and timely circulation.
  • Collaborate with Nation Departments to create branded, informative, and timely messages to members regarding various information, updates, announcements, and notices.
  • Enhance social media presence by setting up virtual meetings and digital referendums.
Qualifications:
  • Post-Secondary Diploma in Business Administration, or relevant discipline.
  • Completion of Grade 12.
  • 5-7 years' experience in an administration or communications role preferred.
  • Strong knowledge of office procedures and practices.
  • Proven Knowledge of record keeping and filing systems for both paper and electronic correspondence.
  • Demonstrated ability to maintain a high level of confidentiality
  • Excellent analytical and problem solving skills
  • Superior written and verbal communication and interpersonal skills.
  • Proven organizational and time management skills.
  • Proficient with use of computer, internet, email, and Microsoft Office Suite (Outlook, Word, Excel, Power Point).
  • Criminal Record Check clearance.
  • Valid BC Driver's License and acceptable Driver's Abstract.
Working Conditions:
  • Interacts with employees, various management levels and the public at large.
  • Ability to lift up to 25 lbs.
  • Repetitive work.
  • Overtime when required and approved only.
  • Regular travel to a remote northern community
Employment Details:
  • Salary: $30.00 - $35.00/hour based on experience
  • 35 hours per week
